PRIVACY POLICY

Last updated: 30 September 2026

This Privacy Policy explains how Popcorn iMedia Solutions (HK) Limited (“Popcorn”, “we”, “us” or “our”) handles personal data collected through this website and related enquiries, in accordance with Hong Kong’s Personal Data (Privacy) Ordinance.

WHAT WE COLLECT

When you contact us, we collect the details you provide: your name, company, email address, phone number, proposed monthly advertising budget and message, together with subsequent correspondence. Our enquiry form requires your name, email address and message so that we can understand and respond to your enquiry. Company, phone and budget details are voluntary. If required details are not supplied, the form cannot be submitted; you can contact us by email or phone instead.

Our hosting and security systems may process technical information such as IP addresses, requested pages, timestamps and browser information to deliver and protect the website. The form uses a short-lived, hashed IP identifier to limit repeated submissions. Please avoid sending identity documents, payment-card details or other sensitive information through the enquiry form.

HOW WE USE YOUR INFORMATION

Submitting an enquiry does not subscribe you to a marketing mailing list. If we propose using your personal data for direct marketing, we will provide the information and obtain the consent required by applicable law. We do not sell enquiry information.

WHO HANDLES YOUR INFORMATION

Access is limited to personnel and service providers who need the information for the purposes described above. Relevant recipient categories include website hosting, email delivery, IT support, security and backup providers; professional advisers; and authorities where disclosure is required or permitted by law.

Our website is hosted by hosting.com (formerly A2 Hosting). Enquiries are sent through the hosting mail service to our Microsoft 365 business email account. We do not currently use a separate CRM, spreadsheet or cloud-drive service to store website enquiries. If you choose to contact us through WhatsApp, that conversation is also handled by WhatsApp/Meta under its own privacy terms.

Service providers may process information outside Hong Kong, including in locations where their infrastructure or support teams operate. Processing locations depend on the provider and service configuration. We use contractual or other practicable safeguards to address security and retention when providers process personal data for us. You may contact us for further information about a particular service.

HOW LONG WE KEEP INFORMATION

For unsuccessful enquiries, we review the information six months after the last substantive contact and delete or anonymise it unless there is a documented continuing business or legal need to retain it. An ongoing discussion or client relationship is assessed separately.

Client correspondence is retained for as long as needed to deliver and administer the engagement, resolve outstanding matters and meet applicable legal requirements. Tax-relevant business transaction records are generally retained for at least seven years from the relevant transaction, or longer where the law requires. This does not mean that every enquiry or email is kept for seven years.

Backup copies may remain after information is removed from active systems until the backup is overwritten or securely deleted. Their retention depends on recovery needs and the backup system; backups are not used for routine marketing. We review backup retention and restrict access, and address applicable deletion requirements when restoring data. A single automatic expiry period does not currently apply to all backup copies.

SECURITY

We take reasonably practicable measures to protect personal data against unauthorised or accidental access, processing, erasure, loss or use. These include HTTPS, access restrictions and form validation. No website or transmission method can be guaranteed completely secure.

COOKIES AND EXTERNAL SERVICES

Details of cookies and browser storage are available in Cookie Settings. Google Analytics, Google advertising tags and Meta/Facebook Pixel are not currently installed on this website. Providing Google or Meta advertising services to clients does not, by itself, place those trackers on this website. External websites and WhatsApp operate under their own policies when you follow their links.

ACCESS, CORRECTION AND CONTACT

You may request access to or correction of your personal data by contacting us. We may need to verify your identity and clarify the request. We will handle requests in accordance with applicable law, including any permitted fee for a data-access request. You can also ask us to review whether information is still necessary to retain.

CHANGES TO THIS POLICY

We may update this policy as our services or practices change. The date above identifies the latest revision. Where a new use requires consent, updating this page alone will not replace that requirement.
